Understanding the Workplace Through Data

The MNC’s Pune office housed teams across multiple floors. While the organization planned to move toward a more cohesive single-floor layout, leadership wanted to ensure the new design reflected actual employee behavior, not assumptions.

GrydSense deployed proprietary occupancy sensors across workstations and meeting rooms, capturing real-time data on how space was being used throughout the day. These sensors use AI/ML image processing on the Edge – accurately detecting human presence with low latency and high privacy. In this way, GrydSense generated actionable utilization insights without storing personally identifiable information.

The findings were revealing.

Workstations were used only about 57% of the time, typically for 4–6 hours per day, with peak usage between 11:00 AM and 5:00 PM. Meanwhile, meeting rooms showed 50–70% average utilization, and multiple meeting rooms were frequently booked but remained unoccupied.

These insights highlighted a common issue in corporate workplaces: organizations often overestimate how much space they actually need.

Turning Insights into Design Strategy

Equipped with precise utilization data, the workplace strategy could now move from guesswork to evidence and insights-based decision making.

The analysis revealed that the office could operate efficiently with 750–800 seats instead of the originally planned 1,000, avoiding the need for additional real estate acquisition. This reduction translated directly into lower capital expenditure, reduced rental commitments, and significant operational savings over time.

More importantly, the data also revealed how employees preferred to work.

Instead of traditional desk-centric layouts, the workplace required a greater variety of work settings:

  • Collaborative tables for small team discussions
  • Media-enabled spaces for impromptu meetings
  • Flexible seating areas for focus work
  • Smaller meeting rooms distributed across team neighborhoods

By aligning the design with actual behavioral patterns captured by GrydSense, the office began evolving into a more dynamic and efficient workspace – designed around how people truly work.

Validating the Design with Real-World Testing

Rather than implementing the new design immediately, the team adopted a pilot approach.

A test area was created inside the existing office, incorporating flexible workstations, phone booths, collaborative desks, and media-enabled spaces. Over the subsequent quarter, employees used the pilot environment while GrydSense continued to collect and analyze occupancy data.

This real-world testing allowed validation of the proposed design before scaling it across the entire office. Sensor data and employee feedback together ensured the final layout was optimized for productivity, collaboration, and comfort.

Adapting to the Pandemic in Real Time

Then, in the middle of the project, COVID-19 reshaped the future of work globally.

What could have derailed the project instead became a powerful demonstration of the value of continuous workplace intelligence.

Because the office was already instrumented with sensor-based analytics, GrydSense could immediately reassess how space was being used and redesign the layout to accommodate hybrid work patterns.

New insights revealed that employees increasingly preferred task-based environments rather than assigned desks, with a greater need for collaborative zones and flexible work settings.

The final design therefore incorporated:

  • Unassigned desks within team neighbourhoods
  • Shared business hubs for cross-team interaction
  • Hybrid-ready spaces for seamless collaboration between remote and in-office teams

The result was a workplace capable of supporting a hybrid workforce while maintaining high levels of efficiency and employee engagement.
